SAS 115 Process

  1. BAIRS reports are generated by Millie Calingo after prior month closes and sends to the following staff to review for accuracy. Deadline for staff to respond to Millie Calingo is the Monday before the SAS/Finance meeting held the last Thursday of each month.

  2. The Budget Officer reviews the overall activities and identify deficits and discrepancies. Make appropriate adjustments, as needed.
  3. The department reviews the following revenue and expenses.
    • Operating Transfers
    • Donation Income
    • Deposits
    • Endowment Revenue
    • Payroll Expenses
    • General Monthly Expenses (Travel and Entertainment, Purchasing, Recharges, etc…)
    • bluCard and Event Planner Card Activities
  4. Month End Close Reporting Checklist (form can be found on the Econ shared drive in Finance folder)
    • GL Sum By Five Chartfields
    • GL Detail Transaction Verification
    • GL Customer Report Fund 7 Column
    • GL Sum Dept Fund Deficits
    • GL Encumbrance Report
    • Payroll Expense Detail
    • Payroll Exception Report (If Applicable)
  5. Identity Management (User System Access) Review
    • Dean’s office provides notification when reports are available to review online via BFS. 
    • Department reviews identity management (user system access) reports quarterly.
    • Reviewed during the months of October, January, April, and July
  6. Completed SAS 115 report is discussed during the Finance Meeting every first Thursday of each month.
  7. Once final, Millie Calingo signs both the Month End Close Reporting Checklist cover sheet and the Social Science Monthly Checklist.  Copies are printed and kept in the SAS-115 binder located in Phil's office.
